Promote events in the restaurant: from wine evenings to quizzes

The appropriate event

Those who want to promote events in a restaurant should first consider which event fits the establishment. An event that does not suit the cuisine or the audience may attract guests—but not those who will return.

  • Wine evening or beer tasting with a local winery or brewery.
  • Theme evening on a season or a cuisine.
  • Quiz, game night or reading on a quiet weekday.
  • Live music in the beer garden.
  • Cooking class or kitchen tour for small groups.

Announce

An event needs lead time. Announce it early enough so guests can plan, and remind them shortly before.

  • Signage in the establishment and at the entrance, with date, time, price, and what is included.
  • Post on social media and in the Google Business Profile.
  • Notice on the digital menu, for example as a daily offer at the very top.
  • Personal invitation to regular customers.
  • Include partners: winemakers, breweries or musicians share the event with their audience.

For the event itself, a dedicated page with all the information is worthwhile. Same-QR offers the template Action for this: The offer is displayed prominently at the top, with the terms and conditions below. The QR code on the poster and table stand leads to it.

Registration and inquiries

For events with limited capacity, you need registration. A phone number is sufficient for small groups. For larger numbers of registrations, a form is more practical, allowing details such as name, number of people, and preferences like allergies to be included.

Same-QR has a contact template with a form through which guests can send inquiries. You see them collected and confirm the places yourself. In a campaign for the event page, the views can also be assigned to the respective poster or flyer.

In the evening itself

  • Clear procedures: Who greets, who serves, who moderates?
  • A small menu for the evening instead of the full menu.
  • Provide allergies and requests from the registrations to the kitchen in advance.
  • A few photos for the next announcement – with the guests' consent.

After that

A thank you on social media, a brief follow-up question with regular customers, and an honest look at the numbers: Was the evening worth it? Did new guests come? Good things are repeated, ideally in a fixed rhythm. A regular event – for example, every first Thursday of the month – becomes a habit more easily than a one-off event.

Checklist for your event

  • Date, time, price and services are specified.
  • Announcement in the local area, online and with partners.
  • Event page with all information and a QR code on it.
  • Registration by phone or form, with a question about allergies.
  • Process and tasks in the team discussed.
  • Keep an eye on the date for the next event.

A well-organized event has a lasting impact beyond the evening. Guests talk about it, share photos, and come back next time with friends.

Frequently asked questions

How early should I announce an event?

A few weeks in advance, earlier for larger events. A reminder a few days in advance also helps.

Do I need a permit for live music?

This depends on the location and the type of music. Clarify noise protection, opening hours, and fees for music use in advance with the municipality and the relevant collecting society.

How do I prevent registered guests from not showing up?

A confirmation shortly before the appointment helps. For events with a menu, a deposit is also customary.
