Create a digital menu: step by step to the menu on your mobile phone

What a digital menu is

Anyone who wants to create a digital menu is essentially building a small website: Guests scan a QR code at the table and view the menu in their mobile browser – without an app, without logging in. Unlike a photographed PDF, such a page is designed for small screens. Text wraps cleanly, categories are easy to overview, and no one has to zoom with two fingers.

The real advantage lies behind the scenes: if a price changes or a dish is removed, you update the page. The printed code at the table remains the same because it only points to the address of the menu.

Preparation: Collect dishes, prices, allergens

Before you create anything, a clean list is worthwhile. It saves corrections later and is anyway the foundation for every menu, whether printed or digital.

  • All dishes and drinks with their current price.
  • A short description where the name alone is not enough: accompaniment, preparation, origin.
  • The allergens per dish, coordinated with the kitchen and recipes.
  • What changes regularly: daily special, lunch menu, seasonal specialties.

Create and organize menus

The structure determines whether guests can navigate the menu on their mobile phones. Follow the order in which meals are served: appetizers, main courses, desserts, and then beverages. Create additional categories such as soups, salads, vegetarian, children, or coffee & tea only if they are genuinely populated; a category with a single entry appears lost.

In the menu template, each row consists of the dish, price, and an additional line. The additional line should contain a short description or allergen information. At the very top, you can optionally add a daily special that you can change independently of the rest of the menu.

Choose design

The menu can look like your local establishment. However, readability is important first: dark text on a light background or vice versa, no playful font for long texts, enough spacing between lines. Generate and test QR code

  • Scan with at least two mobile phones, ideally an iPhone and an Android device.
  • Scan in the restaurant under evening lighting, not just at the desk.
  • Check whether the menu loads quickly on the mobile network.
  • Make a test print at original size and scan from the seated position at the table.

Care in everyday life

A digital menu is only as good as its latest version. Decide who makes changes and implement them as they arise: new price, dish out of stock, new daily special. A fixed weekly appointment where someone cross-checks the menu with the kitchen prevents errors from creeping in.

Keep some printed menus ready anyway. Not every guest wants to take out their phone at the table, and with a dead battery or poor reception, the paper menu is the most friendly solution.

  • Menu read on two mobile phones in evening light.
  • QR code scanned from the seated position, even on mobile networks.
  • Some printed menus for guests without mobile phones are provided.
  • Team instructed: Who changes the daily menu, who removes sold-out dishes?

After the first days, it is worthwhile to ask for a short feedback from the service: Where have guests asked questions, what have they not found? These areas are usually improved quickly, and the menu gets better with each week.

Frequently asked questions

Do I need my own website for a digital menu?

No. The menu can run as its own hosted page. If you later have a website, you can redirect the printed code on the menu to that site without reprinting.

Do guests need to install an app?

No. Current mobile phones recognize QR codes directly in the camera, the menu opens in the browser.

Can I transfer my existing menu?

Yes. You can have photos or a PDF of your menu scanned. Afterward, check prices and allergens before publishing the menu.

Do different rules apply to the digital menu than to the printed one?

The substantive requirements, such as those regarding prices and allergen information, do not depend on whether the menu is on paper or displayed on a screen. Whether a QR code alone is sufficient should be clarified with the relevant chamber or authority in your country.
