Agencies: Migrate client QR codes cleanly to Same-QR
Record inventory per client
If you want to migrate client QR codes as an agency, do not start in the new tool, but with a clean list. Export whatever is possible from the old provider, and supplement the rest manually. For each code, you need:
- Client and campaign
- Name of the code and current destination
- the old short link
- where the code is printed and how long the printed material remains in circulation
- the scans from the last few months to separate important items from legacy items
Codes without scans for months often belong to completed campaigns. Clarify with the client whether they should be migrated at all. This saves quota and work.
Create client projects and labels
In the Agentur plan of Same-QR, you create a separate client project for each client. The plan includes 1,000 dynamic codes for 49.00 € per month, up to 50 connected websites, and an interface for your own systems. Within a project, you can additionally organize codes with labels, for example by campaign, branch, or printed material.
Define the labels before the import and use the same spelling everywhere. Labels that are in the import file and do not yet exist are created by Same-QR during the import. A typo thus creates a second label.
Import and bridge per customer
In the dashboard, under “Many codes at once”, you will find “Import a spreadsheet”. Download the template there, enter your codes and upload the file again. The template has three columns: Name, Target URL and Labels. Comma and semicolon both work as separators; separate several labels with a vertical bar (|). Labels that do not exist yet are created during the import. CSV import is part of the Start plan and above.
Proceed customer by customer. After each import, the bridge follows: At the old provider, you change the destination of each code to the new Same-QR short link. The printed codes then redirect via Same-QR, and you manage all destinations in one place. A scan test per code after the switch is included.
Creating many codes at once is also possible via the interface. Those who already work with their own scripts or a coding agent can complete the import in one go.
The easiest way is the migration assistant under Dashboard → “QR codes” → “Move from another provider”: it reads your list as a CSV or Excel file, lets you assign the columns name, destination URL, old short link and labels, and creates the codes, as many as your plan allows. Afterwards you download a list “old short link → new Same-QR link”, which is exactly what you need for the bridge. An overview of switching is at sameqr.com/wechseln/en.
Communication with customers
The move should be invisible to the customer. Nevertheless, a short message is worthwhile: what changes (the management), what stays the same (the printed codes), and from when new printed materials will carry the new code. If customers had access themselves, tell them where they will find their codes in the future.
- State the date of the switch and have it confirmed.
- Only release print data for upcoming orders with Same-QR codes (PNG, SVG, or PDF).
- Address customers regarding ongoing print orders with old codes.
- After the move, send a short list: Code, Destination, Short Link.
Completion and documentation
Only cancel the old account when the bridge is no longer needed for any customer. According to the help and pricing pages (as of October 2026), many providers no longer redirect after the subscription, including QR TIGER and Uniqode; for others, it is not documented, so ask beforehand. Secure the scan statistics beforehand.
Finally, you export the complete list as CSV in Same-QR using “Export all” and file it in the customer record. This is also your insurance: Whoever has their list can verify at any time which code points where.
At Same-QR, the end of a subscription is handled as follows: Codes within the quota of your new plan continue to run unchanged – in the free plan, the two oldest. Codes beyond that are deactivated by us only after a 14-day grace period, and you will receive three emails beforehand (7, 3, and 1 day before). Deactivated does not mean deleted: The code shows a notice instead of the destination when scanned and works again as soon as your plan covers it.
