Free QR codes for schools and nurseries, with no ads when scanning

Letters to parents, notices in the corridor, invitations to the fair: a lot still runs on paper in schools and nurseries. That is good, because paper also reaches parents who do not install an app. Replies are the hard part. A QR code on the letter leads straight to the form, the list or the date. For this to work in a school, it must meet three conditions: be free, show no ads and handle data sparingly.

What schools and nurseries use QR codes for

  • Letter to parents: reply via an online form instead of a torn-off slip
  • School fair: sign-up, cake list and volunteer schedule
  • Canteen menu: to the page that is updated every week
  • Parents’ evening as a video call: straight into the room
  • Materials and book list at the start of the school year
  • Photos from the school trip: only to a protected folder with a password
  • Contact the office: to the school’s contact page

With 20 dynamic QR codes a nursery group or a class can plan the whole year. A whole school should agree on who creates which codes.

No ads, no third-party content

Some free QR code services show ads before the destination. In a school that is a problem, because the code is on an official letter. So check what appears after the scan before printing. Same-QR shows no ads when scanning. Scans are only counted as a total per QR code, without time, location or device.

Privacy for photos and forms

The QR code itself is harmless. What matters is the destination. Photos of children never belong in an open folder, not even behind a QR code. Use a protected folder and share the password separately, for example in the letter next to the code. For forms: only ask for what you really need and follow the rules of your school authority.

Are 1,000 scans a month enough?

For one class or one nursery group, certainly. 25 families who scan every letter reach 100 scans even with four letters a month. A whole school is different. 400 families and two letters a month already make 800 scans, and a third letter breaks the limit. If the account is above it, a short note appears before the destination at first, and after seven days the codes show only a notice until the end of the month. For a whole school the free plan is therefore rather tight. It fits best for one class, one nursery group or the parents’ council.

No trial period that runs out in summer

A notice often stays up for a whole school year. A free offer that ends after 14 days is unsuitable, because the printed code then leads nowhere. The free plan of Same-QR has no trial period and needs no credit card. The destination can be changed twice per QR code, for example when a date is moved.

Conclusion

A QR code on the letter to parents saves slips and follow-up questions. Choose a service without ads and without an end date, put sensitive content only behind protection and work out the scans in advance, especially with many families.

Frequently asked questions

Do parents see ads when they scan?

No, there are no ads when scanning. Only if an account is above 1,000 scans a month does a short note appear before the destination.

Does the QR code record who scanned it?

No. Only the total number of scans per QR code is counted, without time, location or device.

Can I share photos from the school trip with a QR code?

Yes, but only through a protected folder with a password. Share the password separately from the code.
